Common Admin Problems for Scaffolding Contractors

Every scaffolding firm faces these challenges. ProWorks solves them all.

Pricing scaffolds in the evening

You look at the elevation during the day, then write the price up at night. Save your day rates and material markup once and turn a site visit into a professional branded quote in minutes.

Erects, alterations and strikes scattered everywhere

The same site comes back around three or four times across a hire. Book each visit as its own job in the diary and group them under one project, so the whole hire sits in one place with its hours and costs totalled.

Hire invoices slipping through the cracks

The scaffold goes up, the weeks tick by, and somewhere along the way an invoice gets missed. Raise an invoice for the erect and each period of hire, and see at a glance which ones are outstanding or overdue.

Team and subbie hours on scraps of paper

Two teams out, a subbie labourer here and there, and it all lands on your desk on a Friday. Everyone logs their own hours against the job from their phone, so you know your true labour cost per scaffold.

Essential Features for Scaffolding Job Management

From a domestic gable end to a commercial hire with alterations, manage every part of your scaffolding work

Quotes for Erect, Hire and Dismantle

A scaffold is three charges pretending to be one: putting it up, the weeks it stands, and taking it down. Price each from your saved rates so the customer can see what the hire period is actually costing.

Weekly Team Diary

See the week for every team on one screen and drag jobs between people as plans change. Book erects, alterations and strikes in as separate visits so nothing gets missed when the builder rings.

Project Management

Group the erect, every alteration and the strike under a single project. See the hours and the spend across the whole hire, not just one visit at a time, with the margin on each visit sitting on its own job.

Team & Subbie Timesheets

Your scaffolders and subcontractors log their own hours against each job from their phone. The hours feed straight into your labour costs, so day rate work bills right and price work stays honest.

Professional Invoices

Generate an invoice from the job with time, materials and markup already worked out, then raise further invoices as the hire runs on. Send branded PDFs and see exactly who still owes you.

Site Paperwork & Photos

Store handover certificates, TG20 compliance sheets, RAMS and photos of the completed scaffold on the job. Everything stays linked to the right job and customer if a question ever comes back.

How Scaffolders Use ProWorks Job Management Software

Built for UK scaffolding contractors - from a domestic chimney scaffold to a commercial hire with multiple alterations

Scaffolding hire with erect, alteration and strike jobs tracked in ProWorks

Priced Scaffolds and Day Rate Squads

A domestic gable is priced up front. A week on a main contractor's site is day rate for the whole squad. Set the job type and the invoice is built from the price or from the hours the team logged.

Run the Whole Hire as One Project

Book the erect, each alteration and the strike as separate jobs in the diary, then group them under one project. Every hour and fitting cost rolls up together, so you see what the full hire has cost you.

Work on a Main Contractor's Site

Site work arrives with their order number, their induction and their dates. Put the order number on the job so it carries through to the invoice, and give a subcontracted squad a restricted view that shows the work you gave them and nothing else.

Questions Scaffolders Ask About ProWorks

Straight answers for UK scaffolding contractors comparing job management software.

Can I invoice weekly hire after the erect has been paid?

Yes. Raise the erect as one job and each hire period as its own job, then invoice each as it falls due. The builder gets one bill per period, and anything unpaid shows as overdue so you see who still owes you.

How do alterations get priced and billed?

Raise each alteration as its own quoted job, which the builder accepts in the portal. Group the erect, alterations and strike under a project. The project totals the hours and spend across the whole hire, and each visit keeps its own margin on its own job.

Does ProWorks handle the CIS reverse charge on invoices to main contractors?

Yes. Mark an invoice as reverse charge and it shows the VAT for the contractor to account for, with the reverse charge wording, so a domestic customer and a main contractor are invoiced from the same system. Download the invoices CSV and your accountant has the income records in one file, reverse charge invoices included.

How do I get the team to an erect with the right instructions?

Put them on the assignment: the arrival window, where the wagon can park, which elevation first, who holds the keys. They show on each scaffolder's daily view with the address and directions, and the weekly diary shows the hours booked against each person so you can see who has room for the strike on Friday.

Can a subbie team log their own hours without seeing my customers?

Yes. Invite the subcontractor's company, assign them the erect or strike, and their hours and costs land on your job and invoice. They never see your customer list. A subcontractor login is £5 a month plus 50p for each day you assign them work; your own employed scaffolders are Standard users at £15 a month.
